Parties Policy

A few important things to know before joining us.

Bookings & Payments

Sparc birthday parties are confirmed once the signed booking agreement and advance booking payment have been received.

  • A $200 advance booking payment is required to secure your party date.

  • The remaining balance is due seven days before your party.

  • The total price, inclusions and any additional guest charges are outlined in your individual booking agreement.

  • Final guest numbers must be confirmed at least seven days before the event.

The advance booking payment contributes towards reserving your date, planning and preparing your party experience. It is not automatically forfeited if you need to cancel.

Changes & Rescheduling

We understand that plans sometimes change!

If you need to reschedule your party, please contact us as soon as possible. We'll do our best to accommodate an alternative date, subject to availability.

Payments already received can be transferred to a new booking date where both parties agree. Any changes to pricing or party arrangements will be discussed before confirming the new date.

Cancellations & Refunds

If you need to cancel your party, please notify Sparc in writing as soon as possible.

For cancellations initiated by the host, Sparc may retain reasonable costs or losses associated with the booking, where permitted by law. These may include preparation already undertaken, materials purchased specifically for the event and reasonable losses arising from reserving the date.

Any cancellation costs will take into account the timing of the cancellation, expenses saved and opportunities to rebook the date.

We will provide an explanation of any amount retained and refund payments exceeding the amount we are lawfully entitled to keep.

Refunds will ordinarily be returned to the original payment method where possible and processed promptly once the amount has been determined.

Booking Credits

Where a family needs to cancel, Sparc may offer a booking credit as an alternative to a refund or cancellation charge.

Credits may be used towards an eligible future Sparc birthday party or workshop, subject to availability and the terms confirmed when the credit is issued.

Any credit offered will be optional and confirmed in writing, including its value, eligible uses and any applicable expiry date.

A credit will not replace a refund or other remedy required under Australian Consumer Law unless the customer freely agrees to that alternative where permitted.

Cancellations by Sparc

Occasionally, illness or unforeseen circumstances may mean we are unable to deliver a scheduled party.

If this happens, we'll contact you as soon as possible to discuss an alternative date or provide a full refund of payments received if we cannot deliver the agreed service.

Any additional rights or remedies available under Australian Consumer Law will also apply.

Weather & Venue Changes

For mobile parties, we recommend having an indoor alternative available in case of unsuitable weather.

Creative activities can be adapted to suit the available space, with messier techniques excluded from indoor sessions where appropriate.

If circumstances prevent the party from proceeding safely, we'll work with the host to discuss suitable alternatives. Any refunds or cancellation charges will be assessed in accordance with the circumstances and applicable consumer law.

Supervision

Sparc facilitates and supervises the creative activities included in the birthday party booking.

The parent or host must ensure that a nominated responsible adult remains present throughout the event and oversees children during food, games, free play and other activities outside Sparc's creative program.

Individual parents are not required to stay, provided the child's parent or guardian has made appropriate arrangements with the party host.

Accessibility & Additional Support

We want children to feel welcome and comfortable creating at Sparc.

Please let us know before your event if any children have accessibility requirements or additional support needs that may affect their participation. This allows us to discuss reasonable adjustments and prepare an inclusive creative experience.

Art Materials & Property

Sparc takes reasonable precautions to protect the creative area and minimise mess, including the use of protective floor and table coverings where appropriate.

Creative activities can involve accidental spills. Both Sparc and the host agree to take reasonable care of the venue, materials and equipment throughout the event.

The host is responsible for identifying and moving or protecting delicate furniture, flooring and personal belongings before activities begin.

Nothing in this policy limits any rights or responsibilities under Australian Consumer Law.

Food, Decorations & Entertainment

Unless otherwise specified in the booking agreement, the host is responsible for providing food, drinks and birthday cake, along with any party decorations or entertainment they wish to include.

Sparc provides the agreed creative activities, art materials and equipment.

Photography

We love capturing the creativity that happens at Sparc, from colourful works in progress to the wonderful things children make.

We may photograph creative setups, materials and artworks for documentation and promotional purposes.

Identifiable photographs of children will only be taken or used for Sparc promotional purposes with appropriate permission from their parent or legal guardian.

Photography consent is collected separately and is entirely optional. Children can participate fully in Sparc activities regardless of whether photography consent is provided.

Consent may be withdrawn for future photography or promotional use by contacting Sparc. We will also consider requests to remove previously published images where reasonably possible.

Personal Information

We collect information needed to manage bookings, communicate with families, process payments and deliver our creative programs.

This may include parent or guardian contact details, children's names and ages, booking information and any accessibility or additional support requirements voluntarily shared with us.

Personal information is used for these purposes and handled in accordance with applicable Australian privacy requirements.

Information is only shared with service providers or other parties where reasonably necessary, authorised or required by law.

For questions about your personal information or photography permissions, please contact hello@sparcartspace.com.au.

Agreement & Acceptance

Birthday party booking agreements are entered into between Sparc Artspace, operated by Ashlee Berry, and the parent or guardian named in the booking agreement.

By signing the booking agreement, the parent or guardian confirms that the booking details are correct and agrees to the terms outlined in the agreement, including the applicable Sparc Artspace policies made available before booking.

Australian Consumer Law

Our services come with consumer guarantees under Australian Consumer Law.

Nothing in these policies excludes, restricts or modifies any rights or remedies that cannot lawfully be excluded.

Where a service does not meet applicable consumer guarantees, customers may be entitled to a remedy, including a refund or compensation, depending on the circumstances.
